Requirements

  • A minimum of a high school, or equivalent, education.

Preferred:

  • Associates Degree is preferred. Formal training in office management preferred. Current valid driver’s license may be required. 3 to 5 years of Executive Assistant experience preferred.

General Purpose

Performs administrative support and related service for the President & CEO as well as the Executive Leadership Team.  Makes decisions in President’s absence on appropriate resources to utilize in handling immediate problems, concerns or information requests that would normally be directed to the President. Serves as the primary contact for Board members and coordinates all aspects of the quarterly board meeting logistics.  Handles details of a confidential nature. Requires broad knowledge of corporate operations and policy, and a high level of experience, discretion and technical skill. Usually operates with great latitude for independent judgement and initiative. Maintains all corporate records, including By-Laws (in conjunction with Legal,) Board & Committee Minutes, in a secure and organized manner.

Essential Duties & Responsibilities

  1. Completes a broad variety of executive support tasks for the President and CEO, including: managing an extremely active calendar of appointments; composing  and preparing correspondence that can be highly confidential;  creating or directing the creation of reports, charts, budgets and other presentation material, and arranging multiple and complex travel arrangements.
  2. Coordinates all manner of Board and Committee meeting activities and logistics, including:
    • May serve as Assistant Secretary to the Board of Directors.
    • Coordinates all travel arrangements for members of staff and Board of Directors.  Handles meeting registrations and room reservations.
    • Coordinates board meeting arrangements — rooms, meeting rooms, dinners, etc., while working within specified budget.
    • Maintains travel expense reports for Board of Directors.
    • Responsible for Board of Director’s compensation payment.
    • Prepares minutes from Board of Director/Committee meetings.
  3. Provides assistance and support for the Executive Leadership Team as needed, to include managing calendars and scheduling meetings, conducting research and providing assistance with report preparation, preparation of confidential correspondence, and other executive support activities.
  4. Assists departments within BCBSWY with projects to ensure corporate deadlines and initiatives are accomplished.
  5. Manages all the development, maintenance and general oversight of all corporate policies, procedures, and related governing documents.
  6. Performs all duties and responsibilities with the highest level of confidentiality and professionalism.
  7. Applies significant discretion with respect to scheduling work activities and related workflows to ensure deadlines are met.

Supervisory Duties
  • This position has no direct supervisory responsibilities but does serve as a coach and mentor for other positions in the organization.

Job Qualifications

Knowledge, Skill & Ability

Position requires knowledge of general office procedures. Computer skills required, including knowledge of Microsoft Office (Word, Excel, Access, Outlook.) Strong organizational and time management skills required, as well as highly developed interpersonal and communication skills. Must be able build relationships with all types of external stakeholders.

Education, Licensure, or Formal Training

Associates Degree is preferred.
Formal training in office management preferred.
Current valid driver’s license may be required.

Experience

3 to 5 years of Executive Assistant experience preferred.

Working Environment / Physical Activities

Works in an open office environment. Requires ability to sit for 2 to 3 hours at a time.  Requires use of both hands for typing, answering phone, using calculator. Must deal with stressful situations and deadlines. Occasional travel required.
